- Use A Standardized Process for Documentation — Utilize a streamlined, easy-to-use system that new hires can use to complete various compliance documents and avoid filing errors. Using a formal system to complete compliance documents will eliminate the need for frequent audits.
- Go Paperless — Construction companies across the country are switching to a paperless documentation option. By doing so, these businesses are saving money on printing and filing costs, as well as time. The average employee uses 10,000 sheets of copy paper each year and spends an upwards of 40 percent of his/her time looking for information in filing cabinets. A paperless process will reduce mistakes and allow employees to move into their new positions faster.
- Standardize the Format Used for Policies — Avoid missing elements in the document by including background information, a purpose statement and an overview. Standardizing the format for policies makes them easier to read, which is why you create the documents in the first place.
- Use A Header — At the top of the document, include vital information to prevent improper management of the particular policy. This header should include the following: a title, department who’s responsible for the policy, effective date, approval date, department that approved policy, policy number, last date updated and number of pages.
